Supply Chain Administrative Assistant - Part-Time

Mission of the Role:

To provide efficient and accurate administrative support to the Supply Chain team by handling routine, data-heavy tasks. This role ensures the smooth tracking of inventory, order fulfillment, and invoice verification, allowing the core team to focus on strategic operations.


Key Responsibilities:

  • Data Management & Inventory Tracking – Maintain and update shipment, order tracking, and inventory files to ensure accurate stock levels and balanced label quantities.
  • Invoice Verification & Payment Processing – Verify data, update trackers, and process invoices for fulfillment and storage partners, ensuring timely and accurate payments.
  • Order Processing & Coordination – Manage Amazon and staff benefit orders, follow up on fulfillment status, and track product replenishments.
  • Report & File Updates – Ensure timely and accurate updates to key tracking files, including supplement expiration records and monthly shipment data accuracy across multiple tabs.
  • Communication & Follow-ups – Liaise with external fulfillment partners to ensure accurate data updates and resolve discrepancies in inventory, shipments, and invoices.


Key Requirements:

  • Proven experience in data entry, order tracking, or supply chain administration (preferably in e-commerce or logistics).
  • Strong proficiency in Excel/Google Sheets with experience handling large datasets and ensuring data accuracy.
  • High attention to detail and ability to process repetitive administrative tasks efficiently.
  • Experience in invoice verification and payment processing is a plus.
  • Self-motivated, organized, and capable of working remotely with minimal supervision.

Working hours: Mondays to Fridays, 9am to 1pm

This is a 100% remote role where the potential hire must be equipped with the following to carry out this role effectively:

  • Laptop / CPU with acceptable speed
  • At least 2 monitor screen (inclusive of laptop screen)
  • Headset with Mic (Noise cancelling)
  • Webcam
  • Designated Workstation
  • Stable and strong power and internet connectivity
  • Noise-free and conducive environment
